ScheduleConnector for Zoom

ScheduleConnector links your Zoom account to an app you already use, so that app can add a Zoom link to meetings it books for you — and remove it if a booking is cancelled. You approve access on Zoom’s own screen; your password is never seen or stored.

What it does

When the app you use books a meeting with you, ScheduleConnector creates a Zoom meeting in your own Zoom account and puts the join link on the calendar invite. If that booking is cancelled, the meeting is deleted. A time change is handled as a delete of the old meeting and a new one in its place, so a join link is never silently swapped under people who already hold it.

It reads your Zoom account once, at connect time, only to record which account a booking belongs to. It does not read or change any meeting you already have.

Adding the integration

  1. Open the app you use for scheduling and find its calendar or meeting settings. Press its Connect Zoom (or “Add Zoom”) button. That app hands you to ScheduleConnector, which sends you straight to Zoom.
  2. On Zoom’s approval screen, check that you are signed in to the Zoom account you want meetings created in — Zoom connects whichever account is currently signed in, with no account picker.
  3. Review the access requested — create and delete meetings on your account, and read your account once to identify it — and press Allow.
  4. You land on a “Zoom connected” confirmation showing the account that was connected. That is it — you can close the window and go back to the app you started from.

Prerequisites: a Zoom account you can sign in to, on any plan that lets you schedule meetings. Nothing to install.

Using it

There is nothing to run day to day. Once connected, the app you use adds a Zoom link automatically each time it books a meeting with you, and clears it when a booking is cancelled. The scheduling rules — when you can be booked, who with — live in that app, not here; ScheduleConnector only carries the Zoom connection.

Troubleshooting

  • The wrong Zoom account got connected. Connect again and, before approving, sign in to the right account at zoom.us in the same browser. Then remove the connection you did not mean from the app that sent you.
  • It says you need to reconnect. Zoom invalidates access when a password changes, an administrator removes the app, or you revoke it. Nothing is wrong with your account — press connect again in the app that sent you.
  • The connect link would not open. Connect links are single use and expire after fifteen minutes. Go back to the app that sent you and press connect again for a fresh one.
  • A booking came through with no Zoom link. Usually the connection had lapsed. Reconnect as above; existing bookings can be rebooked to pick up a link.

Removing the integration

Either of these ends our access immediately. You do not need both.

  1. From the app that sent you — use its disconnect control for Zoom. That revokes the connection with Zoom and deletes the stored token.
  2. From Zoom directly — go to Zoom Marketplace → Manage → Added Apps (or zoom.us → Settings → Connected Apps), find ScheduleConnector for Zoom, and press Remove. Zoom notifies us and we delete the stored token and connection for your account.

What happens after: no new Zoom links are created for your bookings. Any Zoom meetings already created stay on the calendars they were added to — delete those from your own calendar or Zoom if you do not want them.
